Participation Guidelines & Advice

To help ensure a smooth, professional, and enjoyable experience for everyone involved in the Natural Therapies Expo & Festival, we have provided the following policies, procedures, and participation guidelines.

These documents help outline expectations, responsibilities, communication processes, and event standards for exhibitors, sponsors, volunteers, and promotional partners.

Policies

1. Exhibitor Terms & Conditions

 By submitting an application and/or payment for the Natural Therapies Expo & Festival, exhibitors agree to the following Terms & Conditions:


1. Application Approval

All exhibitor applications are subject to approval by event organisers. The Expo reserves the right to decline applications that are not aligned with the event values, standards, available category spaces, or venue requirements.


2. Payment Terms

Exhibitor spaces are not confirmed until payment or an approved payment arrangement has been received.

Invoices must be paid by the due dates listed. Failure to make payments may result in the exhibitor space being released to another applicant.


3. Payment Plans

Where payment plans are approved, exhibitors are responsible for ensuring all instalments are paid on time. Missed payments may result in cancellation of the booking and loss of the allocated space.


4. Cancellation & Refund Policy

All payments are non-refundable unless the event is cancelled by the organisers.

If an exhibitor can no longer attend, organisers may, at their discretion, transfer payments to a future event.


5. Public Liability Insurance

All exhibitors must hold current Public Liability Insurance with a minimum cover of $10 million AUD covering the event date.

Exhibitors may be asked to provide a current Certificate of Currency prior to the event.


6. Communication Policy

The Natural Therapies Expo & Festival operates primarily via email communication.

Exhibitors are responsible for ensuring their contact details are correct and for reading all event communications, updates, invoices, and setup information sent prior to the event.


7. Stall Sharing & Transfers

Exhibitor spaces may not be shared, sublet, transferred, or reassigned without prior written approval from organisers.


8. Setup & Bump-In Requirements

Exhibitors must arrive during designated bump-in times and remain set up until the official event closing time unless otherwise approved.

Exhibitors are responsible for setting up and packing down their own displays and for leaving their space clean and tidy.


9. Safety Requirements

Exhibitors must comply with all venue safety requirements and directions provided by organisers or venue staff.

Walkways, exits, and shared spaces must remain clear at all times.


10. Prohibited Items & Activities

The following are not permitted within the venue:

  • Open flames or candles 
  • Burning incense 
  • Hazardous materials 
  • Illegal products or activities 
  • Unsafe equipment or displays 
  • Excessive noise or disruptive behaviour 

Organisers reserve the right to request removal of any item, activity, or display deemed unsafe, inappropriate, or inconsistent with the event environment.


11. Marketing Permissions

By participating in the event, exhibitors grant permission for their business name, logo, website, social media handles, and approved promotional material to be used in event marketing, including social media, website listings, printed material, and promotional campaigns.


12. Photography & Media Consent

Exhibitors and attendees may be photographed or filmed during the event for promotional and archival purposes.

These images and recordings may be used across websites, social media, newsletters, advertising, and future event promotions.


13. Right to Refuse Participation

The organisers reserve the right to refuse, cancel, or remove participation at any time where behaviour, products, services, or conduct are considered inappropriate, unsafe, misleading, discriminatory, or not aligned with the values of the event.


14. Event Changes & Force Majeure

The organisers reserve the right to make changes to event scheduling, venue layout, speaker programming, or operational requirements where necessary.

The organisers are not responsible for cancellations, delays, or changes caused by circumstances beyond reasonable control, including extreme weather, venue issues, government restrictions, emergencies, or other force majeure events.


15. Compliance Expectations

All exhibitors are expected to behave professionally and respectfully toward attendees, volunteers, venue staff, speakers, organisers, and fellow exhibitors.

Exhibitors are responsible for complying with all applicable laws, regulations, permits, and business requirements relevant to their products or services.


16. Acceptance of Terms

Submission of an exhibitor application and/or payment confirms acceptance of these Terms & Conditions.

2. Sponsor Terms & Conditions

By entering into a sponsorship arrangement with the Natural Therapies Expo & Festival, sponsors agree to the following Terms & Conditions:


1. Sponsorship Approval

All sponsorship applications and collaborations are subject to approval by event organisers. The Expo reserves the right to decline sponsorships that are not aligned with the values, standards, or audience of the event.


2. Payment Terms

Sponsorship benefits will not commence until payment or an approved payment arrangement has been received.

Invoices must be paid by the due date listed unless otherwise agreed in writing.


3. Sponsorship Inclusions

Sponsor benefits and inclusions are based on the agreed sponsorship tier or written agreement between the sponsor and organisers.

Inclusions may vary depending on availability, timelines, and event requirements.


4. Marketing Material Deadlines

Sponsors are responsible for providing logos, business information, advertisements, social media handles, and any promotional materials by the deadlines provided by organisers.

The organisers are not responsible for missed promotional opportunities due to late submission of materials.


5. Marketing Permissions

Sponsors grant permission for the Natural Therapies Expo & Festival to use supplied logos, business names, website links, social media handles, and approved promotional material across event marketing channels, including:

  • Social media 
  • Website listings 
  • Email marketing 
  • Printed material 
  • Event signage 
  • Promotional campaigns 

6. Sponsorship Conduct

Sponsors are expected to conduct themselves professionally and respectfully toward attendees, exhibitors, volunteers, speakers, venue staff, and organisers.

The organisers reserve the right to remove sponsorship recognition where conduct is considered inappropriate, misleading, discriminatory, unsafe, or damaging to the event reputation.


7. No Guarantee of Sales or Results

While organisers actively promote the event and sponsor visibility, sponsorship does not guarantee sales, leads, attendee numbers, media exposure, or specific business outcomes.


8. Photography & Media Consent

Sponsors acknowledge that event photography and video recording may occur throughout the event and may be used for promotional, marketing, and archival purposes.


9. Event Changes & Force Majeure

The organisers reserve the right to make changes to event scheduling, venue layout, programming, sponsorship inclusions, or operational requirements where necessary.

The organisers are not responsible for delays, cancellations, or changes caused by circumstances beyond reasonable control, including extreme weather, venue issues, government restrictions, emergencies, or other force majeure events.


10. Refund Policy

Sponsorship payments are non-refundable unless the event is cancelled by organisers.


11. Evergreen Sponsorship

Evergreen Sponsorship benefits apply only for the active sponsorship period and are subject to the accompanying Evergreen Sponsor Terms & Conditions and signed agreements where applicable.


12. Right to Refuse or Cancel Sponsorship

The organisers reserve the right to refuse, suspend, or cancel sponsorship arrangements where a sponsor’s business, conduct, marketing, or public behaviour is considered inconsistent with the values, safety, professionalism, or reputation of the event.


13. Acceptance of Terms

Payment of a sponsorship invoice and/or participation as a sponsor confirms acceptance of these Terms & Conditions.

3. Promo Tote Bag Contributor Guidelines

Thank you for your interest in contributing to the official attendee tote bags for the Natural Therapies Expo & Festival.

This initiative offers businesses, practitioners, and wellness brands an affordable grassroots marketing opportunity to place promotional items directly into the hands of event attendees.

Please review the following guidelines before participating.


1. Contribution Quantity

Contributors must provide a minimum of 50 identical items for inclusion in the attendee tote bags.


2. Accepted Items

Suitable items may include:

  • Flyers or brochures 
  • Discount vouchers 
  • Samples 
  • Wellness-related promotional items 
  • Branded merchandise 
  • Small non-consumable gifts 

Flat, lightweight items are preferred where possible.


3. Prohibited Items

The following items will not be accepted:

  • Food or edible products 
  • Drinks 
  • Products with expiry dates 
  • Glass items 
  • Hazardous or flammable items 
  • Sharp objects 
  • Illegal or unsafe products 
  • Heavily scented items that may impact other products 

The organisers reserve the right to refuse any item considered unsuitable for the event environment or attendee audience.


4. Submission Deadlines

All tote bag contributions must be delivered or received by the deadline provided by organisers.

Late submissions may not be included.


5. Delivery Responsibility

Contributors are responsible for all postage, delivery, packaging, and associated costs unless otherwise agreed.


6. Marketing Inclusion

Where applicable, contributors may receive acknowledgement through event marketing channels, such as:

  • Social media mentions 
  • Website listings 
  • Event promotional material 

Marketing inclusions vary depending on availability and promotional timelines.


7. No Guarantee of Exposure or Results

While organisers aim to distribute tote bags to attendees, inclusion in the tote bags does not guarantee sales, leads, social media engagement, or specific business outcomes.


8. Tote Bag Distribution

Tote bags are limited in quantity and are generally distributed on a first-come, first-served basis to selected attendees or promotional recipients.


9. Right to Refuse Inclusion

The organisers reserve the right to decline or remove any item that is considered inappropriate, unsafe, offensive, misleading, damaged, or inconsistent with the values and standards of the event.

4. Volunteer Policies & Expectations

Thank you for your interest in volunteering with the Natural Therapies Expo & Festival.

Our volunteers play an important role in helping create a welcoming, calm, and supportive experience for exhibitors, speakers, and attendees. The following guidelines help ensure a safe, respectful, and well-organised event environment for everyone involved.


1. Volunteer Conduct

Volunteers are expected to behave professionally, respectfully, and courteously toward attendees, exhibitors, speakers, venue staff, organisers, and fellow volunteers at all times.

Disruptive, discriminatory, aggressive, or inappropriate behaviour will not be tolerated.


2. Communication

Event communication is primarily conducted via email and/or approved volunteer communication platforms.

Volunteers are responsible for reading important updates, schedules, and instructions provided prior to the event.


3. Arrival & Attendance

Volunteers are expected to arrive at their designated start time and notify organisers as soon as possible if they are unable to attend or running late.


4. Dress Expectations

Volunteers should wear clean, neat, comfortable clothing and suitable footwear appropriate for an active event environment.

Where applicable, volunteers may be provided with identification lanyards, badges, or event materials.


5. Volunteer Roles & Responsibilities

Volunteer duties may include:

  • Assisting with attendee check-in 
  • Guiding visitors around the venue 
  • Supporting exhibitors or speakers 
  • Tote bag distribution 
  • General event assistance 
  • Supporting the Lotus Buds – Kid’s Mindfulness Corner 
  • Basic setup or pack down assistance 

Volunteer roles may change throughout the event depending on operational needs.


6. Safety Expectations

Volunteers must follow all venue safety requirements and organiser instructions.

Walkways, exits, and shared areas must remain clear at all times.

Any hazards, incidents, injuries, or concerns should be reported to organisers immediately.


7. Photography & Media Consent

Volunteers may be photographed or filmed during the event for promotional, marketing, and archival purposes, including use on social media, websites, newsletters, and future event promotions.


8. Privacy & Confidentiality

Volunteers may come into contact with exhibitor, attendee, or organisational information during the course of the event.

Any sensitive, personal, or private information must be treated respectfully and not shared outside the event environment.


9. Child Safety

Volunteers assisting in or near children’s activity areas, including the Lotus Buds – Kid’s Mindfulness Corner, are expected to behave appropriately and follow all organiser instructions regarding child safety and supervision.


10. Volunteer Limitations

Volunteers are not authorised to:

  • Make financial decisions on behalf of the event 
  • Speak publicly on behalf of organisers unless approved 
  • Handle disputes or complaints independently 
  • Provide medical, legal, or professional advice 

Concerns should always be referred to event organisers.


11. Right to Remove Volunteers

The organisers reserve the right to remove any volunteer from the event where behaviour, conduct, attendance, or actions are considered unsafe, inappropriate, disruptive, or inconsistent with the values of the event.


12. Acceptance of Expectations

By volunteering at the event, volunteers acknowledge and accept these Volunteer Policies & Expectations.

5. Communication Policy

The Natural Therapies Expo & Festival is a small independently organised community event. To help maintain clear, respectful, and manageable communication, the following communication policy applies to exhibitors, sponsors, volunteers, contributors, and attendees.


1. Primary Communication Method

Event communication is conducted primarily via email and website contact forms.

This helps ensure communication remains clear, documented, and manageable for all parties.


2. Response Timeframes

Please allow approximately 2–3 business days for responses during busy event periods.

Response times may occasionally vary closer to the event date due to operational demands.


3. Phone Communication

The Expo does not generally provide phone-based customer support unless specifically arranged by organisers.

Written communication is preferred wherever possible.


4. Respectful Communication

All communication is expected to remain respectful, professional, and constructive.

Aggressive, abusive, discriminatory, or inappropriate communication will not be tolerated.


5. Email Responsibility

Participants are responsible for:

  • Providing correct contact details 
  • Checking their inbox and junk/spam folders 
  • Reading event updates and instructions sent by organisers 

The organisers are not responsible for missed information due to incorrect email addresses or unread communications.


6. Social Media Messaging

While social media may occasionally be used for general enquiries, important event communication, invoices, approvals, schedules, and official updates will be sent via email.


7. Communication Boundaries

As a community-run event with limited administrative resources, organisers may not be available outside standard business hours.

Repeated calls, excessive messaging, or demands for immediate responses may not receive priority attention.


8. Right to Refuse Communication

The organisers reserve the right to discontinue communication with individuals who engage in inappropriate, abusive, threatening, or unreasonable behaviour.

Participation in the event as an exhibitor, sponsor, volunteer, contributor, or attendee confirms acceptance of this Communication Policy.

Procedures

1. Exhibitor Application Procedure

Step 1 — Submit an Online Application

Interested exhibitors must complete the official online exhibitor application form available through the Expo website.

Applications should include:

  • Business name 
  • Contact details 
  • Description of products/services 
  • Website and/or social media links 
  • Preferred exhibitor space size 
  • Any additional requests or requirements 


Step 2 — Application Review

Applications are reviewed by organisers to ensure suitability, category balance, space availability, and alignment with the event environment and audience.

Submission of an application does not automatically guarantee acceptance into the event.


Step 3 — Approval & Invoice

Approved exhibitors will receive:

  • A confirmation email 
  • An invoice for their selected exhibitor space 
  • Relevant event information and documentation 

Where applicable, approved payment plans may also be discussed.


Step 4 — Payment Confirmation

Exhibitor spaces are confirmed once payment or an approved payment arrangement has been received.

Unpaid invoices may result in the space being released to another applicant.


Step 5 — Insurance Documentation

Exhibitors will be requested to provide a current Certificate of Currency for Public Liability Insurance with minimum coverage of $10 million AUD covering the event date.


Step 6 — Space Allocation

Once confirmed, exhibitors will be allocated a space number within the event layout.

Space placement is determined by organisers based on operational requirements, category flow, safety considerations, and overall event balance.


Step 7 — Final Event Information

Closer to the event date, exhibitors will receive important event information including:

  • Bump-in times 
  • Venue access details 
  • Setup instructions 
  • Parking information 
  • Event schedule 
  • Exhibitor reminders and operational updates 


Step 8 — Event Participation

Exhibitors are expected to comply with all Expo policies, procedures, venue requirements, and organiser directions throughout the event.

2. Exhibitor Bump-In & Setup Procedure

Event Operating Times

  • Exhibitor bump-in: From 8:00am 
  • Event doors open to the public: 10:00am 
  • Event closes: 4:00pm 
  • Final bump-out completion: No later than 5:00pm 

Exhibitors are requested not to arrive earlier than 8:00am unless prior arrangements have been approved by organisers.


Step 1 — Arrival & Check-In

Exhibitors should arrive during the designated bump-in period.

Upon arrival:

  • Follow venue signage and organiser directions 
  • Check in with event organisers if requested 
  • Locate your allocated exhibitor space number before unloading 


Step 2 — Unloading

Exhibitors are encouraged to unload efficiently to help reduce congestion around venue entry areas.

Please be mindful of:

  • Other exhibitors unloading 
  • Shared accessways 
  • Venue traffic flow 
  • Safety of attendees, volunteers, and staff 


Step 3 — Setup of Exhibitor Space

Exhibitors are responsible for setting up their own display, signage, stock, and promotional material within their allocated area.

Standard exhibitor spaces generally include:

  • One table 
  • Black tablecloth 
  • Two chairs 

Exhibitors should bring any additional display materials required for their setup.


Step 4 — Power Access

Limited power access may be available in selected areas of the venue.

Exhibitors requiring power should notify organisers in advance where possible.

Power boards, extension leads, and electrical equipment brought by exhibitors should be safe and suitable for public event use.


Step 5 — Safety Requirements

For safety and venue compliance:

  • Walkways and exits must remain clear 
  • Displays must remain within allocated space boundaries 
  • Cables and equipment should not create trip hazards 
  • Open flames and burning incense are not permitted 
  • Unsafe or unstable displays may be required to be adjusted or removed 


Step 6 — Final Presentation & Readiness

All exhibitors should aim to have their space fully set up and presentation-ready prior to the public opening time of 10:00am.

This includes:

  • Product displays 
  • Signage 
  • Seating arrangements 
  • EFTPOS setup 
  • Promotional materials 
  • Personal belongings stored neatly 


Step 7 — During the Event

Exhibitors are expected to maintain a respectful, welcoming, and professional presence throughout the event.

Exhibitor spaces should remain reasonably tidy and attended during public event hours.

Early pack down prior to the official closing time of 4:00pm is discouraged unless approved by organisers.


Step 8 — Pack Down & Bump-Out

Pack down may commence after the event closes at 4:00pm.

Exhibitors are responsible for:

  • Removing all stock and display materials 
  • Leaving their area clean and tidy 
  • Taking any rubbish or packaging where possible 

All exhibitors must complete bump-out and vacate the venue no later than 5:00pm unless otherwise approved by organisers.


Step 9 — Questions or Assistance

If assistance is required during setup or pack down, exhibitors should speak with an organiser or designated volunteer.


Event organisers and volunteers will do their best to support exhibitors throughout the day.

3. Promo Tote Bag Submission Procedure

Step 1 — Submit an Expression of Interest

Interested contributors should complete the official Promo Tote Bag Contribution form available through the Expo website.

Applications should include:

  • Business name 
  • Contact details 
  • Description of proposed item/s 
  • Website and/or social media links 
  • Quantity being supplied 


Step 2 — Application Review

All submissions are reviewed by organisers to ensure suitability for the event audience and compliance with Expo guidelines.

Submission of an application does not automatically guarantee inclusion.


Step 3 — Approval Confirmation

Approved contributors will receive confirmation via email along with:

  • Submission instructions 
  • Delivery details 
  • Relevant deadlines 
  • Any applicable promotional inclusions 


Step 4 — Prepare Contribution Items

Contributors must provide a minimum of 50 identical items suitable for inclusion in attendee tote bags.

Suitable items may include:

  • Flyers or brochures 
  • Discount vouchers 
  • Samples 
  • Wellness-related promotional items 
  • Small branded merchandise 


Step 5 — Packaging Requirements

Where possible:

  • Items should be packaged neatly 
  • Loose items should be bundled together 
  • Fragile items should be clearly labelled 

Flat and lightweight items are preferred.


Step 6 — Prohibited Items

Step 7 — Delivery or Postage

Contributors are responsible for arranging delivery or postage of their items unless otherwise agreed.

All items must be received by the deadline provided by organisers to ensure inclusion.

Step 8 — Tote Bag Packing & Distribution

Approved items will be packed into attendee tote bags by organisers or volunteers prior to the event.

Tote bags are limited in quantity and generally distributed on a first-come, first-served basis to selected attendees.


Step 9 — Marketing Acknowledgement

Where applicable, contributors may receive acknowledgement through selected Expo marketing channels including social media or website mentions.

Marketing inclusion is subject to availability, timing, and organiser discretion.


Step 10 — Acceptance of Procedure

Submission of tote bag items confirms acceptance of the Expo Promo Tote Bag Contributor Guidelines and related event policies.

4. Volunteer Onboarding Procedure

Step 1 — Submit a Volunteer Application

Individuals interested in volunteering should complete the official online volunteer application form available through the Expo website.

Applications may include:

  • Name and contact details 
  • Availability 
  • Areas of interest 
  • Relevant experience or skills 
  • Any accessibility or support requirements 


Step 2 — Application Review

Volunteer applications are reviewed by organisers based on event needs, availability, and suitability for available roles.

Submission of an application does not automatically guarantee placement.


Step 3 — Volunteer Confirmation

Approved volunteers will receive confirmation via email along with:

  • Event details 
  • Volunteer expectations 
  • Arrival information 
  • Communication instructions 
  • Assigned role information where applicable 


Step 4 — Role Allocation

Volunteers may be allocated to roles including:

  • Attendee check-in and registration 
  • Tote bag distribution 
  • Guiding visitors around the venue 
  • Supporting exhibitors or speakers 
  • General event assistance 
  • Supporting the Lotus Buds – Kid’s Mindfulness Corner 
  • Basic setup or pack down assistance 

Roles may change throughout the event depending on operational requirements.


Step 5 — Pre-Event Communication

Important event updates and volunteer instructions will be communicated primarily via email and/or approved volunteer communication platforms.

Volunteers are responsible for reading event communications prior to the event day.


Step 6 — Event Day Arrival

Volunteers should arrive at the designated time provided by organisers and check in upon arrival.

Volunteers may receive:

  • A brief event overview 
  • Role instructions 
  • Venue orientation 
  • Identification lanyards or badges where applicable 


Step 7 — During the Event

Volunteers are expected to:

  • Behave respectfully and professionally 
  • Follow organiser and venue directions 
  • Support a welcoming event environment 
  • Report issues, hazards, or concerns to organisers 
  • Maintain appropriate boundaries with attendees and exhibitors 


Step 8 — Safety & Escalation

Volunteers should immediately report:

  • Safety concerns 
  • Injuries or incidents 
  • Aggressive behaviour 
  • Lost children 
  • Venue hazards 
  • Emergency situations 

Volunteers should not independently manage serious disputes, medical situations, or emergencies unless directed by organisers or emergency personnel.


Step 9 — Event Completion & Pack Down

Where applicable, volunteers may assist with basic event pack down, signage collection, tote bag storage, or general cleanup tasks following the close of the event at 4:00pm.


Step 10 — Acceptance of Procedure

Participation as a volunteer confirms acceptance of the Expo Volunteer Policies & Expectations and related event policies.
